About 200 Fermilab employees are responsible for executing some portion of the laboratory's annual budget. These folks are charged by their division, section and center leaders to perform their work in accordance with the financial plans set forth at the beginning of the year (or approved changes made later in the year) and to keep their leaders informed of significant issues that could affect financial performance during the year.
The Finance Section and the field financial managers in the divisions, sections and centers are the first line for financial questions at the laboratory. They work hard to make sure people with budget execution responsibilities have the right tools to understand their budgets and the actual obligations that have been incurred against those budgets. Nearly all of these tools are financial reports of one kind or another, primarily based on our Oracle Financials system, which is supported by the Fermilab Computing Division.
The Finance Section offers many financial tools and reports to help those with financial responsibilities. Our website includes the Financial Services Online Applications page, available on site or off site through VPN. This webpage features links to project and task listings, purchase order and requisition queries, standard online reports and other online queries.
Especially helpful to those with budget execution responsibilities are two online queries that allow the specification of time period, project and task: the Task Transaction Detail report and the Task Summary Report. The TTD report returns all the detailed obligation transactions against a particular project and task during a one-month period by expenditure type. (Payroll details, of course, are not available except through the appropriate field financial manager.) The TSR returns summary information for one or more tasks in the same project, including costs for the current month, fiscal year, and inception-to-date, as well as year-to-date and inception-to-date obligations; open commitments and open requisitions. It also includes the fiscal-year obligation budget and the budget balance.
Finding the report you need and understanding the information in these reports can be challenging; your field financial manager and the Finance Section's Budget Office are here to help.
